Terms of service

§ 1. GENERAL PROVISIONS

  1. These regulations, hereinafter referred to as the "Regulations", determine the rules for the provision of services through the MEETING15.com website, hereinafter referred to as "Website" or "MEETING15 System".
  2. Whenever the Regulations refer to:
    1. Service Provider - it should be understood as MEETING15 Spolka Akcyjna w , address: Plochocinska 164/7c, 03-044 Warsaw;
    2. User - should be understood as a natural person who uses the services provided by the Service Provider on the terms specified in the Regulations.
    3. Event - it should be understood as a conference, workshop or other type of organized event, during which it is possible to organize meetings via the MEETING15 system.
    4. Service - it shall mean providing the User with a tool enabling creation of Events in order to arrange meetings with Users within these events via the Website, receiving notifications in the form of e-mails and SMS regarding meetings and generating reports which will be collective information about meetings during the events and their participants (electronic summary of meetings in the form of a PDF file, current at the time of its generation).
    5. Participant of the event - it should be understood as a User who uses the Service in connection with arranging a meeting with another Event Participant;
    6. Event organizer - it should be understood as a User who is entitled to create Events in the MEETING15 System, add Participants to this event and has an overview of the meeting schedule of all Participants of the event.
    7. Event organizer - it should be understood as a User who is entitled to create Events in the MEETING15 System, add Participants to this event and has an overview of the meeting schedule of all Participants of the event.
    8. Dedicated Person - a representative of the Service Provider providing support to the Organizer of the event in servicing the MEETING15 system.

§ 2. PRINCIPLES FOR ORDERING SERVICES, CREATING EVENTS AND MAKING MEETINGS WITHIN EVENTS

  1. Using the Service requires choosing one of two order modes:
    1. primary service orders via the "Order MEETING15 service" or
    2. dedicated service orders for a specific event organizer via the contact form.
  2. After receiving the order by the Service Provider and/or e-mail, telephone determination of its details with the customer, a proforma invoice will be issued, the payment of which entitles the customer to receive the status of the Event Organizer.
  3. In case of ordering a dedicated service for a specific event organizer, the fee for the Service is determined individually.
  4. Participants of the event do not bear the costs of using the Service.
  5. After receiving the order, the Service Provider creates a new event in the MEETING15 System and makes it available to the event organizer.
  6. The event organizer adds into the MEETING15 system:
    1. information about the Event, e.g. date, place, program, time and place of possible meetings of Users,
    2. data of event participating Users in order to send them MEETING15 e-mail containing the access data to the System (invitation to the Event).
  7. Event participants who are invited and logged into MEETING15 are entitled to make meetings with other Users invited to the same event. Non-acceptance of the invitation within 2 hours of its receiving in the e-mail results in its expiration.
  8. The MEETING15 system assigns participants of the event to a specific meeting place, e.g. a table.
  9. The event organizer may download from the MEETING15 a report regarding meetings within a given event and their participants.
  10. The event participant may download from the MEETING15 a report regarding his / her meetings of this Participant.

§ 3. OTHER FUNCTIONS OF THE MEETING15 SYSTEM

  1. The MEETING15 system allows the Organizer of the event with Users whose data has been entered into the System to communicate through it, via e-mail or SMS.
  2. The MEETING15 system allows the Organizer to organize events via the Participants' Competition System. Detailed rules of organization and participation in the competition are set out in separate competition regulations.

§ 4. TECHNICAL CONDITIONS FOR THE USE OF THE SERVICE

  1. Access to the Service is possible from any computer or mobile device that has a connection to the Internet and a web browser. It is recommended to use newer versions of Internet browsers: Google Chrome, Mozilla Firefox, Microsoft Edge, Apple Safari.
  2. The condition for starting work on the Website is User logging in by using the login and password received from the Service Provider or a unique URL generated by the MEETING15 System and sent to the User by e-mail.

§ 5. PROCESSING OF PERSONAL DATA. COOKIES.

  1. The Service Provider is the administrator of Users' personal data (Event Organizer and Event Participants).
  2. The event organizer is responsible for the legality of obtaining and providing the Service Provider with the personal data of the Event Participants in order to use the Service.
  3. The detailed rules of processing personal data by the Service Provider and the use of cookies are set out in the Website's Privacy Policy.

§ 6. RESPONSIBILITY

  1. The Service Provider is obliged to provide the Service with due diligence.
  2. The Service Provider is not responsible for:
    1. permanent or temporary impossibility to provide the Service or malfunction of the Service;
    2. the consequences of improper use of the Service provided by the User;
    3. consequences of the User's violation of the Regulations;
    4. the effects of using the Service access information (login and password, URL address) by third parties, if these persons acquired these data as a result of their disclosure by the User or insufficient protection against unauthorized access.

§ 7. COMPLAINT PROCEDURE

  1. A complaint about the Service may be submitted by the User in written form, via registered letter or e-mail, to the addresses of the Service Provider indicated in § 1, 2 point 1 of the Regulations.
  2. The User may file a complaint within 14 days from the day of the occurrence that caused the complaint.
  3. The complaint will be considered within 14 days from the date of its receiving by the Service Provider.

§ 8. FINAL PROVISIONS

  1. The User's ability to log in to the MEETING15 System requires prior acceptance of the Regulations.
  2. The Service Provider reserves the right to change the Regulations for important reasons, in particular law changes, new functionalities introduction, new services providing or changing the technical conditions of providing the service. These changes obtain from the time of making the new Regulations version available on the MEETING15 website. In case of a regulations change, the current regulations version will be added on the Website along with direct Users notification via e-mail.
  3. All disputes related to the provision of the Service and the provisions of the Regulations are subject to the jurisdiction of the court proper for the Service Provider.
  4. These Regulations shall enter into force on July 27, 2019.
